In TotalChat (hereinafter, "the Platform" or "our Service"), a brand commercially operated by ArkoStudio LLC, we take data privacy and security very seriously.
It is important to highlight that TotalChat operates under a centralized technology distribution model. Therefore, ArkoStudio LLC acts as the commercial, support, and service manager of the platform, while the storage, mass data processing, and technical backend infrastructure are managed externally by our global infrastructure provider and specialized data centers.
1. Architecture and Data Processing
By using TotalChat, you agree and acknowledge that:
Hosting and Infrastructure: ArkoStudio LLC does not host the databases of conversations, chat histories, credentials, or connection tokens on its own office servers or local development environment. All technical infrastructure, the software backend, and secure data storage are run in the cloud of our strategic technology partner.
Data Processing: To ensure maximum availability, the service is governed by strict standards of the cloud software industry, using data centers optimized for mass messaging processing and Artificial Intelligence.
2. Information that is Collected and Processed
Through the service infrastructure, the following data necessary for management and automation is collected:
A. Account and Business Management Data
Registration Information: Name, email, phone, and contact data collected directly by ArkoStudio LLC for managing your subscription, technical support, and billing.
Payment Data: Processed externally and encrypted through secure payment gateways (such as PayPal). We do not store credit or debit card information.
B. Operational Data (Processed by the Infrastructure Backend)
Tokens and Connections: Official credentials and tokens from the APIs (such as the official WhatsApp Business API, Facebook Messenger, Telegram, etc.) necessary to link your communication channels with the system.
Messaging Flows: Text messages, multimedia content (images, audio, documents), contact data of your end customers, and shipping metadata required to execute automations, bot flows, and Artificial Intelligence responses.
3. Use of Information and AI Connectivity
Chat data and histories are strictly processed to:
Ensure the proper functioning of response bots, automated flows, and the routing of chats to human agents.
Securely connect with user-configured Artificial Intelligence (LLMs) models to generate smooth, brief interactions with a human tone. The AI processing APIs used do not employ this data to train public models.
Use of Data from Google APIs (Google API Services User Data Policy)
The use and transfer by TotalChat of the information received through Google APIs will strictly adhere to the User Data Policy of Google API Services, including its requirements for Limited Use (Limited Use Requirements).
Our platform accesses user spreadsheet data (Google Sheets and Google Drive) solely for the purpose of enabling the reading and extraction of knowledge bases to structure the AI training campaigns defined by the admin user. We do not sell, transfer, or share this data with third parties, nor do we allow external Artificial Intelligence platforms to use this data for general model training purposes outside of interactions authorized by the user.
4. Data Retention and Deletion
Given the design of the service architecture:
Chat histories, workflows, and settings are securely stored while your TotalChat subscription is active.
As an admin user, you have tools within the platform's control panel to delete chat histories, contacts, or disconnect your communication channels autonomously at any time.
Compliance with Meta Policies and Data Deletion Request (Meta Data Deletion Callback)
In accordance with Meta's Developer Policies, the data collected through the official APIs of WhatsApp, Instagram, and Facebook Messenger is processed solely for the purpose of centralizing and automating customer messaging.
If you wish to revoke application access or request the permanent deletion of your connection tokens, account identifiers, and conversation metadata from the backend, you can process a formal request by sending an email to soporte@totalchat.net. The ArkoStudio LLC team will process the cancellation and coordinate the complete and irreversible removal of such records from the infrastructure servers within a maximum period of 30 business days.
5. Data Security
The security of communications is backed by industry-standard technology protocols:
Data encryption in transit through secure HTTPS/TLS connections.
Use of encrypted and official webhook connections provided by Meta (WhatsApp, Instagram, Facebook) and other integrated social networks.
6. Limitation of Liability
ArkoStudio LLC is committed to providing commercial support, configuration, and technical assistance for the TotalChat platform. As a software whose physical infrastructure depends on an external network provider, ArkoStudio LLC is not responsible for global service interruptions originating from primary data centers, nor for massive failures, account suspensions, or outages in the official APIs of third parties (such as Meta or associated AI platforms).
